The Rescan feature allows a user to manually refresh session information to match current student data. After the creation of a test administration, eligible students and what forms they are assigned may change due to mobility or updates to accommodations assignments. Although eligibility and form assignments are every 30 or 60 minutes* , on occasion it may be necessary to capture fixes faster so a student can start testing. As an example, when a student has a missing accommodation added and needs to test soon, it will be necessary to rescan them so they get the correct accommodated form. As a best practice, always rescan a single student rather than the entire administration if only one student needs updating.

  • *LTR sites (https://ltr.adamexam.com/) rescan automatically every 30 minutes on the half hour; PROD sites (https://adamexam.com/#/) every hour on the hour.
  • Rescan can be performed on ‘Not Started’ sessions only.
  • Rescan is applicable to eligibility-method administrations only (most customers use this method).
  • Even if you have permission to rescan all students in an administration, individually rescan a student when applicable as this is much faster and optimizes site performance.

Test Administration Notification

When a discrepancy is found between class rosters and test administration rosters, a flag appears on the test administration. This indicates a scan should be run.

Rescan a Single Student

The feature to scan a single student is available from several locations. You may not have user permissions to access some or all of these locations.

  • Rostering > Users > Administrations
  • Operations > Session Explorer
  • Test Management > Administrations > Students
  • Student Dashboard > Sessions View

To rescan a single student:

  1. Navigate to a list of students that includes the student to rescan using one of the paths above.
  2. Regardless of which screen you chose, locate the row for the student and the correct assessment (a student may have multiple tests assigned).

Note: The option at the top of the Actions column is for rescanning all students - only some users have this and it should be used sparingly.

  3. In the Actions column, click the kabob menu.
  4. Select Rescan Session.
  5. On the confirmation message, click Rescan

  6. You will see a message that the rescan is in progress.

  7. A confirmation will appear when the rescan is complete.

Note for Site Administrators: The Rescan Test Sessions feature is controlled with a user role permission in Test Management called 'Rescan Test Sessions'.
